TITLE: Office Assistant II
SALARY: Level 3
HOURS WORKED: 20 hours per week
SUPERVISED BY: Administrative Manager
STAFF SUPERVISED:
None
POSITION PURPOSE: Work independently on assignments given by all staff with completion in a timely and accurate manner.  Operate phone and message systems, direct clients to appropriate staff.   Maintain professional and personable nature under pressure.

Essential Job Responsibilities:

  • Effectively operate phone and message systems.

Maintain friendly and helpful attitude at all times.
Screen calls and direct to appropriate staff.
When necessary, take complete messages including full name and phone number
Use the in/out board as a working tool to determine who is available when and where
If necessary, check answering machine and fill out message slips for all appropriate calls; turn on various office machines
Assist with daily phone coverage.

  • Perform clerical duties as assigned by Administrative Manager, including but not limited to word processing, copying, filing, collating and shredding.

Complete paperwork required of position in a timely manner.
Assist various staff with projects as requested by supervisor.

  • Greet visitors to the office in a professional and personable manner; direct them to appropriate staff.
  • Work Closely with EHS Family Advocate to provide child care billing and follow-up.
  • Provide clerical, database management and tracking support to the EHS program, as needed/assigned.

  • Regular attendance is a requirement of the position.
  • Attend staff meetings, center meetings, and/or other workshops/meetings as notified.
  • Maintain a positive attitude regarding ORCCA and all its programs along with the Head Start program and philosophy.

  • Maintain respect and positive communication regarding all children, families and staff.
  • Maintain confidentiality of client and staff information
  • Maintain open, two-way communication with staff.
  • Accept suggestions and guidance from supervisor and/or other management staff.
  • Seek feedback on job performance and evaluate suggestions and guidance to incorporate in performance.
  • Commit to further training.  Develop an individual training plan using program tools, as appropriate
  • Communicate with supervisor regarding any needed changes or concerns with work schedule.
  • Adhere to agency procedures as a mandated child abuse reporter.
  • Physical ability to perform the job.

*Perform other jobs as designated by your supervisor, Project Director or ORCCA CEO.  Employee may occasionally be asked to work alternate hours and days.

Knowledge/Skills/Experience Required:

  • High School Diploma or GED
  • Willingness to learn
  • Ability to take direction and work independently
  • Ability to maintain a friendly and helpful attitude at all times
  • Maintain confidentiality and commit to specific hours

  • Licenses: A current Drivers License is required.
  • A good driving record is necessary.
  • Proof of automobile liability insurance @ 100,000/300,000 liability limits
  • Reliable transportation
  • Must be drug free.
  • Must be enrolled in the Oregon Employment Department-Child Care Division Central Background Registry
  • Health Appraisal
  • Able to drive/travel long distances
  • Ability to sit at meetings for as long as four hours at a time
  • Ability to work in excess of eight hours per day and during evenings as required
